Word vs an invoice app: when to leave the template
A Word or Canva invoice is a reasonable tool if you bill one or two clients a year and you remember last month’s number. It becomes expensive when you duplicate INV-3, the table total is wrong, and “who paid” lives in a Drive folder you stopped updating.
The market then tries to sell you an accounting suite. That is the wrong upgrade if you only needed a numbered PDF, a way to send it, and a list of who still owes.
What Word actually costs you
- Numbers are manual. Most AP desks — and UK VAT if you are registered there — expect a unique sequential invoice number. Docs will not stop you from sending two INV-4s.
- There is no outstanding. Paid is a filename. Overdue is a calendar reminder you snooze.
- How-to-pay lives in a footer you forget to update. Tax ID is a text box you delete on the next Save As.

When an invoice app is the right size
Switch when you have a handful of repeating clients, you send invoices monthly, or a GST/VAT client bounced a file for missing fields. You want: saved bill-to, auto increment, line math, a share link or email, statuses (draft / sent / paid / void), and outstanding.
That is a billing loop. It is not books. Bank feeds, reconciliation, payroll, and inventory are how invoice apps become Wave or QuickBooks.
Honest alternatives
Stay in Word if volume is tiny and you will keep a paper log of numbers. Use Wave if you want free invoicing plus books and you accept their payments/Pro gravity. Use FreshBooks or Invoice Ninja if you want portals, Pay now, and time tracking.
